Prometheus is ERP software designed with your business in mind. It is Promatics' white-labeled edition of ERPNext, the open-source ERP, pre-configured for your industry, set up for US sales tax and multi-entity operations, and delivered and supported by Promatics from the first demo to go-live and beyond.

Who this service is for

A good fit if

  • You run accounting, sales, purchasing, inventory, projects and HR in separate tools and want one system.
  • You work in healthcare or laboratory services, distribution and retail, legal services or the non-profit sector and want a system configured for your industry.
  • You want one provider responsible for the software, configuration, customization, hosting and support.
  • You want your ERP on an open-source foundation, so your data is never locked into a proprietary format.
  • You run several companies or locations, or trade in more than one currency, and want them in one system.

Another approach may suit you better if

  • You need a certified electronic health record (EHR) for clinical documentation and insurance billing. Prometheus can run alongside it for operations and finance, and we can connect the two.
  • You need US payroll (federal and state withholding, FICA, W-2s) calculated natively inside the ERP. We connect Prometheus to a US payroll provider instead.
  • You only need basic bookkeeping for a very small business. A simpler accounting package may be enough for now.

What Prometheus is

Prometheus is an enterprise resource planning (ERP) system designed to fit organizations that need accounting, project and task management, sales, purchasing, inventory, CRM, administration, human resource management, manufacturing and other day-to-day operations in one place.

It is Promatics' white-labeled ERP, built on ERPNext, the open-source ERP. Promatics packages it with industry editions, US configuration and its own support, and remains accountable for the whole system: implementation, customization, hosting, upgrades and help when you need it. Prometheus is web-based and cross-platform, so it runs in a browser on any device, and everything we build is easily extended to neighboring systems across your organization through its APIs.

A web-based, highly configurable system designed to run and manage your entire laboratory operation and workflow from end to end in real time, from sample collection to diagnosis and patient history.

Deployed on-premises or in the cloud, your choice

Prometheus can run on dedicated servers in your own premises or data center, in your own cloud account, or hosted for you by Promatics. Cloud hosting can use US regions where data residency matters. Wherever it runs, we set up backups, monitoring and restore testing.

The exact list is agreed in writing for each project. These are the usual deliverables and the usual boundaries.

  • Accounting, tax, payroll or legal advice.
  • Third-party subscriptions and licenses, such as payroll services, payment gateways or bank feeds.
  • Hardware such as servers, barcode scanners and receipt printers, unless scoped.

Most delays in this kind of work come from access and decisions, not from the technical build. Knowing these early keeps the project predictable.

  • A project sponsor and a named owner for each business area.
  • Your accountant's direction on the chart of accounts, sales tax and opening balances.
  • Exports from your current systems, and staff time to check migrated data.
  • A decision on hosting, on-premises or cloud.
  • Staff availability for testing and training.
Delivery

How the work is delivered

Each stage ends with something you can review before the next one starts.

  1. Demo and fit review

    See Prometheus working through your own scenarios, then agree the edition, the modules and what goes into the first phase.

    Output: Fit review and phase-one scope.

  2. Configure

    Set up your edition in a test site, including companies, sales tax, roles, workflows and print formats.

    Output: Configured test site.

  3. Migrate and integrate

    Clean and import your data, reconcile the totals, and connect the systems that need to exchange information with Prometheus.

    Output: Reconciled test migration and working integrations.

  4. Test and train

    Staff run realistic scenarios in the test site, and training is organized by role.

    Output: Signed-off scenarios and trained users.

  5. Go live and support

    Final migration, cut-over checklist, early-life support and ongoing support under your agreement.

    Output: Live system, handover pack and support plan.

Testing and handover

  • Opening balances and key totals are reconciled against your previous system before go-live.
  • Each role is tested to confirm users can do their work and cannot see what they should not.
  • Every customization is documented and kept in version control, so upgrades remain manageable.
  • Backups and a restore test are confirmed wherever Prometheus is hosted.
  • You receive administrator access and documentation, and your data stays in a standard open-source database.

What affects the cost

We do not publish package prices. Each estimate is based on an agreed scope, in US dollars, with taxes shown separately. These are the things that move the number most:

  • The edition and the number of modules in scope.
  • The number of companies, locations and users.
  • The volume and quality of data to migrate.
  • The customizations and integrations required.
  • Your hosting choice and support level.

Questions buyers usually ask

Is Prometheus the same as ERPNext?

Prometheus is built on ERPNext, the open-source ERP, and keeps its core. Promatics adds its branding, industry editions, US configuration, customizations and support, and takes responsibility for the whole system. Because the foundation is open source, your data is held in a standard format and is never locked in.

Does Prometheus handle US sales tax?

Yes. State and local sales and use tax rates are set up as tax templates and rules for the places where you have nexus, following your accountant's direction. If you sell into many states, a sales tax calculation service can be connected as part of the scope. We configure what your accountant specifies; we do not give tax advice.

Does Prometheus run US payroll?

US payroll is handled through integration with a payroll provider of your choice. Employee records, attendance, leave and expense claims stay in Prometheus, the provider calculates withholding and files payroll taxes and W-2s, and the results flow back as accounting entries.

Can we run several companies in one system?

Yes. Each legal entity keeps its own chart of accounts, tax setup and records, and you can trade in US dollars and other currencies from the same system. Intercompany transactions and consolidated reporting are configured to match how your accountant wants the group presented.

Where is our data hosted?

Your choice. Prometheus can run on your own servers or in the cloud, including US regions such as AWS US East (N. Virginia) or Azure Central US. Region choice supports data residency, but it is one part of your privacy obligations, not all of them.

Can we see it before deciding?

Yes. We run a demo based on your processes, not a generic tour, followed by a fit review that lists what works as standard and what would need configuration or customization.
