  • Networks under peak load. Classrooms full of devices, online exams and video lectures push Wi-Fi and internet links to their limits at the same moment.
  • Shared and student devices. Labs, library computers and loaner laptops need to be reset, patched and filtered without constant hands-on work.
  • Student records spread out. Admissions, fees, attendance, grades and transcripts often live in separate spreadsheets and tools, which makes reporting to regulators, accreditors and funders slow.
  • Account churn. Every intake and graduation creates and retires hundreds of accounts, and missed removals leave doors open.
  • Phishing and ransomware. Education is a common target, and staff and students are not always trained to spot suspicious messages.

Our web development team builds accessible websites and application forms, and a virtual CIO provides strategic assessments, gap analysis and project management for multi-year technology plans.

Prometheus for education

Prometheus ERP can serve as a single system for admissions, student records, fees and billing, attendance, HR, payroll, purchasing and accounting, with portals for learners and staff. US regulatory and operating context

  • Student records. The Family Educational Rights and Privacy Act (FERPA) protects student education records at schools and colleges that receive federal education funds, and sets rules for access, amendment and disclosure, including when a vendor acts as a "school official". See the Student Privacy Policy Office. Many states have additional student data privacy laws.
  • Children's data. The Children's Online Privacy Protection Act (COPPA) limits collecting personal information online from children under 13, and schools that use online services with younger students need to understand its rules.
  • Private institutions. Private schools, career colleges and training companies are generally subject to the FTC Act and the state privacy and breach notification laws that apply to them, and to accreditor and state licensing requirements for the records they keep.
  • Public institutions. Public schools and colleges are also subject to state public records laws and state agency policies, and some publicly funded institutions are subject to state security standards for the systems they use.
  • Retention. State education and career school regulations, accreditors and funding programs set rules for what student records must be kept and for how long. Systems should make retention and secure disposal routine.
  • Accessibility. Colleges and schools must make their digital services accessible: the ADA and Section 504 of the Rehabilitation Act apply, and a 2024 Department of Justice rule sets WCAG 2.1 AA as the technical standard for state and local government websites, which includes public schools and colleges.
